CIMMYT recrute un Assistant administratif

This position will be based in Thies, Senegal. 

Specific duties 

Administrative and finance:

  • Manage workplace operations consisting of scheduling appointments, and coping with correspondence.
  • Maintain workplace elements and equipment, making sure green every day operations.
  • Manage Local and International travels and Logistics
  • Coordinate Customs Clearance
  • Manage the signature of the Stand Material switch Agreements (SMTAs) among CIMMYT and partners

Inventory Management

  • Coordinate Office Supplies Procurement
  • Coordinate/agenda Visits inside and out of Senegal
  • Ensure record Filing and Archiving
  • Plan and coordinate events: meetings, workshops, conferences, etc.
  • Records all coins in workplace, petty coins, and financial institution transactions on excel layout the usage of the right codes and ahead to Finance Officer for review.
  • Performs any extra duties as assigned via way of means of the supervisors.

Human Resources:

  • Maintain and prepare worker statistics, such as private details, activity titles, and reimbursement information.
  • Ensure all HR documents and statistics are updated and appropriately filed.
  • Prepare and manipulate HR-associated correspondence.
  • Assist in drafting and posting activity classified ads on numerous platforms
  • Review resumes, display applications, and time table interviews.
  • Coordinate the onboarding system for brand spanking new hires, such as making ready orientation materials, arranging workspace, and facilitating preliminary training.
  • Help with informal exertions payroll processing and make sure accuracy in timesheets and earnings calculations.
  • Assist in retaining place of work protection requirements and compliance with fitness regulations.
  • Other administrative obligations:
  • Assisting withinside the making plans and forecasting of stock needs.
  • Support the fleet Management.
  • Any different pastime as required with the aid of using the supervisor.

Requirements

  • Bachelor in Administration, Finance, HR or operations or equal degree.
  • Minimum 1 12 months of enjoy in operating in a multifunctional domain.
  • Experience operating with donors and know-how of donor necessities of funded projects.
  • Experience operating in global environments.
  • Good know-how and fingers on enjoy of MS Office in particular MS Word and MS Excel
  • Good Analytical and document writing abilties.
  • High degree of confidentiality and integrity.
  • Excellent verbal and written French conversation abilties with right know-how in English.
  • Flexibility in taking over obligations outdoor of ordinary activity obligations as required.
  • Ability to prepare effectively, paintings beneathneath stress with interest to detail, precision and accuracy.
