Tostan is a 501(c)(3) non-profit organization based in Dakar, Senegal, currently active in five West African countries. At a strategic level, the organization seeks to strengthen education and further develop its core competencies to document and magnify the lasting impacts associated with various issues. Tostan’s flagship model, his three-year Community Capacity Building Program (CCBP), has reached thousands of communities in West and East Africa since 1991. Results in the areas of governance, education, health, economic empowerment and the environment are currently being monitored. Department overview
At the beginning of 2023, Tostan will announce its strategy for 2030: Partnerships for the Well-being of Communities. Developed in collaboration with partner communities, local governments, national governments and global supporters, the strategy will engage new communities, deepen connections and resources at the local level, and foster a broader ecosystem of stakeholders. Roles and responsibilities
Under the supervision of the Chief Program Officer, Partnership Administrative Assistants are responsible for:
- Partnership and Partnership Team Her leader schedule, calendar and management
- Work with the CPO to ensure the partnership team is up to date with all internal communications and assist team members in completing administrative tasks necessary to keep the team running smoothly.
- Coordinate the partnership team’s calendar to remind the team of tasks, deadlines, and other to-dos.
- Ensure that the CPO is aware of all planned responsibilities and activities and participates appropriately.
- We make travel arrangements including air tickets, ground transportation, hotel reservations, and itinerary arrangements for partnership teams.
- Support the onboarding process for new partnership team members and partners.
- Coordinate partnership meetings to ensure timely scheduling, identification of facilitators, setting agendas, taking minutes, and tracking follow-up actions.
Knowledge Management and Record Keeping

- Supports outreach and follow-up for the continued monitoring of Partnerships Team KPIs and associated materials;
- Ensures that Monthly, Quarterly, and Annual KPI files are submitted on time with suitable record-keeping.
- Communications, Partnership and Outreach
- In relation to Partnerships conferences with outside visitors, companions and Tostan sister organizations, responds to requests for materials;
- Prepares follow-up communications;
- Works with the Partnerships Advisor to coordinate, prepare, plan and supply donor journeys in near collaboration with the logistics crew.
- Supports with verbal and written translation whilst asked via way of means of a member of the Partnerships crew

Key qualifications required
Education
- Bachelor’s Degree required;
- Liberal arts or similar advanced degree in relevant discipline preferred.
Language skills:
- Fluency in French (oral and written) is required;
- Fluency in English (oral and written) is required (C1 level).
Knowledge and Experience
- Management and organizational skills.
- Over 3 years of her experience as an administrative assistant in a non-profit organization.
- Extensive experience in building office support systems.
- Knowledge of Gmail, Google Groups, Google Docs, Google Calendar, and other related software.
- Knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
