Position summary
Administrative Assistants II provide administrative support to your organization’s teams to ensure day-to-day operations run smoothly. This role includes managing administrative tasks, organizing meetings and events, handling correspondence, and providing general administrative support. You are organized, have excellent communication and interpersonal skills, and can multitask.
Responsibilities/deliverables/job duties
- Organize and manage the day-to-day administrative processes of your organization.
- Plan and coordinate internal and external meetings, appointments, and events.
- Manage correspondence, email, and phone calls, answer inquiries, forward messages, and follow up on inquiries.
- Maintain accurate and up-to-date files and records, both electronic and paper
- Create and edit documents, presentations, and reports using Microsoft Office Suite and other software programs.
- Performs data entry and maintains databases to ensure accuracy and completeness of information.
- Assist with budget tracking, invoice processing, and other financial tasks as needed.
- Coordinate and facilitate employee travel plans.
- Maintain secrecy and confidentiality when handling confidential or confidential information.

The Administrative Assistant II must have strong problem-solving skills and be able to independently identify and resolve problems. They must be proactive and predictive of potential problems before they occur, and must have good judgment in determining when to escalate issues to managers and other team members.

- Experience in an administrative support role preferably in medical or public health.
