Tostan is a 501(c)(3) nonprofit organization based in Dakar, Senegal and currently active in five West African countries. At a strategic level, the organization strives to further develop its core competency of strengthening education and to document and scale its relevant sustainable impact on a variety of issues. Tostan’s flagship model, his three-year Community Capacity Building Program (CCBP), has reached thousands of communities in West and East Africa since 1991. Department overview
In early 2023, Tostan will announce its 2030 strategy “Partnerships for the well-being of communities”. Developed in collaboration with partner communities, local and national governments, and supporters around the world, the strategy aims to engage new community groups, deepen connections and resources at a local level, and foster broader ecosystems. to support breakthrough advances in community well-being. Roles and responsibilities
Under supervision of the Chief Program Officer, the Partnerships Administrative Assistant will be responsible of:
- Schedule, Calendar, and Management for Partnerships and Partnership Team Leaders
Work with the CPO to ensure the partnership team is up to date on all internal communications and to help team members complete administrative tasks necessary to keep the team running smoothly.
Coordinate your partnership team’s calendar and remind them of tasks, appointments, and other things to do.
Ensure that the CPO is aware of and appropriately participates in all scheduled responsibilities and activities.
Make travel arrangements, including airline tickets, ground transportation, hotel reservations, and assembling itineraries for your partnership team.
Support the onboarding process for new partnership team members and partners. Coordinate partnership meetings to help identify facilitators, prepare agendas, take minutes, and plan follow-up in a timely manner.
Knowledge Management and Record Keeping

Communications, Partnership and Outreach
In relation to Partnerships conferences with outside visitors, companions and Tostan sister organizations, responds to requests for materials;
Prepares follow-up communications;
Works with the Partnerships Advisor to coordinate, prepare, plan and supply donor journeys in near collaboration with the logistics crew.
Supports with verbal and written translation whilst asked with the aid of using a member of the Partnerships crew

Key qualifications required
Education
- Bachelor’s Degree required;
- Liberal arts or similar advanced degree in relevant discipline preferred.
Language skills:
- Fluency in French (oral and written) is required;
- Fluency in English (oral and written) is required (C1 level).
Knowledge and Experience
- Management and organizational skills.
Her 3+ years of experience as an administrative assistant in a non-profit organization.
Extensive track record in building administrative support systems.
Knowledge of Gmail, Google Groups, Google Docs, Google Calendar, and other related software.
