The Director of Administrative Services reports to the Operations Manager and supports office operations by performing a variety of standard administrative processes to ensure high quality and accurate work. The Managed Services Representative drives a customer, quality and results focused approach. The Director of Management Services works closely with operational, program, and project teams to ensure consistent service delivery and resolve complex management-related issues and information delivery.
Duties and Responsibilities
Prove general administration and operations support to the Regional Office in compliance with UN Women rules, regulations, policies, and strategies
- Prepare paintings plan for administrative team;
- Coordinate and supervise administrative aid team of workers withinside the RO;
- Coordinate and supervise shipments and customs clearance arrangements;
- Coordinate and supervise journey arrangements;
- Coordinate and facilitate the company of conferences, workshops, and retreats;
- Coordinate the constructing renovation services; put together/renew contracts with provider companies and display provider delivery
- Oversee protocol matters, registration of team of workers, coordination with nearby government on area and different administrative matters;
- Manage and enhance submitting device making sure safekeeping of personal materials.

Coordinate and organize assets management and procurement processes
- Manage workplace stationery resources which includes renovation of inventory listing of stationery, distribution of stationery and preserving a log of distribution;

- Provide important inputs to the coaching of procurement plans for the workplace and make a contribution to tracking their implementation;
- Generate procurement associated reports; studies and draft responses to enquiries;
- Review procurement requests and provoke procurement procedures, generally for micro-purchasing, for workplace and undertaking equipment, resources and services;
- Organize and control procurement sports and processes, generally for micro-purchasing;
- Coordinate settlement negotiations, put together request for award of settlement for the assessment and approval of applicable government, as required;
- Coordinate and supervise the coaching of Purchase Orders (PO) and contracts in and outdoor Atlas; make sure accuracy of POs;
- Assist in administering and organising Long Term Agreements (LTAs) with UN Joint Teams.
Provide administrative support to knowledge building and knowledge sharing
- Organize training on management-related topics for operational/project staff.
- Collect lessons learned and best practices across management, procurement, and human resources.
- Inform employees about general administrative matters. provide advice and administrative support;

Required Skills and Experience
Education
- Completion of secondary education is required;
- Bachelor’s degree in Business Administration or related fields is an asset
Experience
- At least 5 years of progressively responsible experience in administration, procurement, HR, or logistic support service;
- Experience in the usage of computers and office software packages (MS Word,Excel, etc.);
- Experience with UN procedures is an asset
- Experience in the use of ATLAS is an asset
Language
- Fluency in English and French is required
- Knowledge of the other UN official working language is an asset.
