Duties and Responsibilities
Prove general administration and operations support to the Regional Office in compliance with UN Women rules, regulations, policies, and strategies
- Prepare a work plan for the management team.
- Coordinate and supervise the RO’s administrative support staff.
- Coordination and monitoring of shipping and customs clearance procedures.
- Coordinate and monitor travel arrangements.
- Coordinate and facilitate the organization of conferences, workshops, and retreats.
- Coordination of building maintenance services.
- Create/update contracts with service providers and monitor service delivery.
- Oversight of protocol matters, registration of personnel, coordination with local authorities regarding space and other administrative matters.
- Manage and improve filing systems to securely store confidential materials.

Manage office stationery supplies including maintenance of stock list of stationery, distribution of stationery and keeping a log of distribution;
- Support office asset management
- You will make a significant contribution to the preparation of the office’s procurement plan and help monitor its implementation.
- Create procurement-related reports. research and prepare responses to inquiries;
- Consideration of procurement requests and initiation of procurement procedures (mainly for small purchases), procurement of office and project equipment, supplies, and services.
- Organize and manage procurement activities and processes primarily for small-value purchases.
- Coordinate contract negotiations and, if necessary, prepare contract award applications for review and approval by relevant authorities.
- Coordinates and oversees the preparation of Atlas internal and external purchase orders (POs) and contracts. Ensure accuracy of orders.
- Support the management and establishment of long-term agreements (LTAs) with the United Nations Joint Team. »
Provide administrative support to knowledge building and knowledge sharing
- Organize training on management-related topics for operational/project staff.
- Collect lessons learned and best practices across management, procurement, and human resources.
- Inform employees about general administrative matters. provide advice and administrative support;

Required Skills and Experience
Education
- Completion of secondary education is required;
- Bachelor’s degree in Business Administration or related fields is an asset
Experience
- Minimum of 5 years of responsible progressive experience in management, procurement, human resources, and logistics support.
- Experience using computers and office software packages (MS Word, Excel, etc.).
- Experience with UN procedures is an advantage
- Experience using ATLAS is an advantage »
Language
- Fluency in English and French is required
- Knowledge of the other UN official working language is an asset.
